Office Assistant (Jobs Growth Wales Opportunity)


Support the General Office function to fulfil the office needs of the business


Support the coordination of the company’s Pool Cars and Car Parking facility:

•  Manage car pool bookings, communicating acceptance/rejection of requests to business users

Ensure meetings are organised effectively:

•  Manage room booking system for both sites, communicating acceptance/rejection of requests to business users
•  Organise and provide meeting refreshments as required
•  Ensure meeting rooms are set up and maintained to a high standard
•  Greet and escort suppliers/customers attending director meetings

Ensure Building tasks are carried out to support the company’s efficiency:

•  Complete mailroom tasks e.g. logging, franking & distributing all post
•  Ensure office closure is completed daily e.g. windows, blinds, lights, A/C turned off
•  Issue staff fruit twice weekly
•  Monitor and replenish all kitchen items e.g. coffee, milk etc.
•  Monitor and communicate with appropriate stakeholders to replenish bathroom items
•  Facilitate regular runs to deliver documentation between sites

Ensure the business has the correct level of stationery to meet its needs:

•  Complete weekly audits on stationery in both sites and communicate when stock is low

This is not an exhaustive list of responsibilities and support with general office ad hoc tasks are required at the request of the Senior Business Manager

Qualifications and Skills:

•  5 GCSE’s A-C or equivalent
•  Team player attitude
•  Confident and personable
•  Self-motivated in completing and requesting additional workload
•  Organised and punctual
•  Attention to detail
•  Solutions mindset – using own initiative to solve problems
•  Experience with Microsoft office is essential
•  General Office Experience is desirable
•  Car driver preferable but not essential
